Dear Pinehurst Hills Homeowners,

Please take a moment to review and complete the attached 3-Year Proxy form. This proxy is for quorum purposes only and is essential to help the Association meet the minimum attendance required to hold Annual Membership Meetings for the election of Directors.

What is a quorum proxy?

By signing this form, you are assigning the Board of Directors as your proxy for attendance purposes only. This means:

The Board cannot vote on your behalf for any election items or issues—it only counts you as “present” to help meet quorum.

You will still receive an election ballot when it’s mailed out, and you retain full voting rights.

If you submit a ballot, attend a meeting in person, or assign someone else as your voting proxy, your ballot or attendance will override this proxy.

Without sufficient quorum, the Association cannot conduct business or hold elections—so your participation makes a meaningful difference!
